Recurring card payment failed: keep the customer account accurate
Keep the invoice open when a recurring payment attempt fails. Record the failed attempt separately, check whether the provider will retry it and agree the next payment step with the customer under the existing arrangement. Only a successful receipt reduces the amount owed. A reminder, an updated card or a scheduled retry is not money received.
What you’ll get from this guide: Resolve a failed attempt without duplicating the invoice or collecting the balance twice.
Use these checks for an already authorised recurring arrangement. A cancellation request or a change to the arrangement needs to be resolved before any further charge.
Start with the invoice and attempt statuses
Record the invoice ID, balance, failed attempt ID and current result. Check for another successful attempt before contacting the customer. Also inspect the recurring series: an individual invoice and the future schedule may have different statuses.
Square's Australian recurring-invoice guidance says declined payments are not automatically retried. It also requires prior cardholder consent for ongoing card-on-file charges. Other platforms have different retry settings, so inspect your actual account rather than importing Square's behaviour into another service.
Follow one invoice through a later payment
| Event | Successful money received | Invoice unpaid balance |
|---|---|---|
| Invoice issued | $0 | $180 |
| Card attempt ATT-58 declined | $0 | $180 |
| Customer securely updates payment method | $0 | $180 |
| Later authorised payment PAY-59 completes | $180 | $0 |
| Net payout reaches bank | Reconcile fees separately | $0 |

The failed attempt is history, not a negative receipt to post against the invoice. The later $180 payment clears the balance once. If the payout is lower after provider fees, reconcile that deduction through the merchant account rather than reopening the customer's invoice for the fee.
Coordinate the next attempt
Check whether the platform has a retry pending before requesting a manual transfer or taking a payment over another channel. If the customer pays another way, follow the provider's documented workflow to prevent a later duplicate and retain the payment reference.
Use a customer-facing payment page to update credentials. Do not request card numbers or security codes by email. Square's guidance says a changed card may require the recurring series to be updated so future invoices use the right card; check both the immediate invoice and future setup.
Send a specific, limited customer message
Fictional wording: “The $180 payment for invoice INV-58 did not complete, and the balance remains $180. Please use the secure payment option on your invoice, or contact us if the arrangement needs to change. We will check the final payment against this invoice.” Adapt the message to the actual retry status and don't say a payment failed if the provider still shows it processing.
Keep correspondence about a disputed or cancelled service with the invoice. Escalate that question instead of repeatedly collecting against an unresolved instruction. The unpaid-invoice guide covers the broader follow-up process.
Reconcile and confirm the future setup
Once a receipt succeeds, match it once and check that the invoice balance is correct. If a second collection occurs, use the duplicate-payment investigation. If the successful receipt is missing from the bank, use the payout trace rather than charging the customer again.
Save who checked the series, the date and the next scheduled invoice. Keep the bookkeeping guide and payments hub available for the settlement checks.
Key takeaways
- A failed attempt leaves the invoice unpaid.
- Confirm actual retry behaviour before another collection.
- Match the successful receipt once and check future settings separately.
