Accounting Software Trial Checklist: Test Before You Buy

A useful accounting software trial shows whether you can complete your normal work. A tidy dashboard is a pleasant start; recording a refund and finding the right report will tell you much more.

Choose two shortlisted products and repeat the same tasks in both. Use their demonstration company or a clearly labelled test file. Don't send test invoices to customers or submit invented payroll or BAS data to a regulator.

Gather a small, representative test pack

Make anonymised examples of an invoice, part payment, supplier bill, bank expense, transfer and refund. Include one transaction that regularly causes questions in your business.

Write down the number of monthly invoices, connected bank accounts, employees and people needing access. Add must-have requirements such as foreign currencies, stock or job reporting. These determine the relevant plan before the trial begins.

Do the tasks yourself after the demonstration. A salesperson completing them quickly is useful instruction; it is not evidence that your operator can repeat them.

Add the specialist task that matters to you

For stock, use a part delivery and customer return. Check both quantity and value. Follow the inventory checklist.

For project work, enter revenue and direct costs for one job. Decide how labour is measured before reading a profitability report.

For an employer, ask for a non-submitting payroll demonstration. Confirm the reporting process, accounting journals and what happens when a correction is required. Do not turn a live government connection into a test environment.

For overseas trading, check invoice currency, customer payment and exchange differences in the specific plan. A product supporting foreign-currency invoice display does not necessarily provide the full accounting workflow you need.

Record the help you needed

Note the task, where you got stuck and how it was resolved. Separate a one-time learning issue from a recurring manual step. Repeating a five-minute workaround fifty times a month is a different cost from learning a screen once.

Ask the person reviewing your books to run their own test: retrieve an unpaid invoice report, trace an expense and inspect a reconciliation. They may notice a reporting limitation that doesn't appear during invoice creation.

Finish with an exit test
