Once you have chosen a replacement, plan the handover before cancelling anything. Keep the old account intact while you test; an exported file that nobody can open isn't a useful archive.

Make an inventory of data and obligations

List products and variants, stock by location, customer credits, unredeemed gift balances, deposits, open orders and historic sales reports. Ask both vendors which data transfers, in which format, and which records remain accessible after cancellation. Keep customer data restricted to the people handling the migration.

Payment card details need a separate provider-managed process. Don't put full card numbers into your ordinary product or customer export workbook. Ask the payment processors directly about a supported transfer if you use saved cards.

The gift register row doesn't claim a balance can be imported into the new platform. If it can't, agree a supported redemption and reporting process with the vendor before taking the old system away. A successful product import doesn't settle those obligations.

Inspect the format instead of renaming the file

Square documents CSV and Excel item exports, including filters that can restrict the export and fields that behave differently on import. Its stock quantity fields are a particular trap: current quantity and replacement quantity do different jobs. Check the actual template and preserve a clean original before editing.

Open a sample with leading-zero stock codes and several sizes or colours. Confirm that spreadsheet software hasn't changed an identifier into a number or date. Test a small import before the full catalogue, keeping any import error report.

Set the cutover boundary

Choose a quiet time, finish or clearly carry forward open orders and record the final old-system transaction. Capture exports after the last agreed activity. If trading continues during migration, keep a change log and replay those changes once; otherwise the test import will already be out of date.

Check a sale and a return in the new system against the expected stock movement and payment record. Follow the POS trial scenarios and check the terminal-to-location mapping before staff start using replacement devices.

Decide when the old service can end

Name a person to sign off the product sample, open balances, reports, access and first close. Confirm cancellation terms with the provider and keep the written response. Check the record-keeping guide for the records your business needs beyond the switch itself.
