Cashflow Manager Gold: Costs, Windows Setup and Payroll

Cashflow Manager Gold is an Australian bookkeeping option built around a Windows workflow. It combines cashbook-style recording with invoicing, stock and employee features. Its monthly price needs reading alongside the minimum commitment.

If you are looking for an app that runs entirely in a Mac browser, start by checking the platform requirement. Gold is not that product.

Price the commitment correctly

The Gold page lists $51 a month with a 12-month minimum, or $553 annually. Optional bank feeds add $5 a month. These prices were checked on 9 September 2026; confirm GST and the final order terms.

At an unchanged $51 monthly rate, twelve payments total $612 before the optional feed. That comparison does not make the monthly option cancellable at any time. The commitment is the part to notice. Gold product, pricing and terms.

Use our software cost calculator to compare the complete amount with other options on the same tax and billing basis.

What the routine looks like

Start with a short test period. Enter money received and money paid, retaining the source documents. When an invoice or supplier bill has already been recorded, follow its payment workflow rather than treating the bank movement as a second transaction.

At the end of the week, compare the bank records with the statement and investigate differences. Then inspect outstanding invoices and supplier amounts. Cash received and sales earned are not always the same number.

A cashbook-style screen may feel familiar, but familiarity is not evidence that all entries are correct. Try one refund and one payment covering several invoices during the trial.

Bank feeds are an optional component

Include the feed charge in the quote if you want automatic bank data. Confirm support for your bank, business account and credit card before buying.

Ask how the product handles an interruption and how you would import a missing period without duplicates. Whether entries arrive automatically or manually, the reconciliation still needs to agree with the statement.

The bank-feed checklist helps compare this optional service with feeds packaged into a cloud subscription.

Payroll, BAS and stock

Gold's product page includes unlimited employees and STP reporting through SuperChoice. Confirm the onboarding process, employee records and responsibility for reviewing reports. Accounting entries, reporting submissions and actual payments should each have a clear place in the routine.

Gold also provides BAS reporting. Establish how those reports will be reviewed and lodged. Do not assume a report has been submitted merely because it can be produced in the software.

For stock, trial purchasing, a sale and a return. Check quantities and values, and ask how you handle the situations common in your business. The inventory requirements guide provides a fuller script.

Windows, backups and access

The current Gold page specifies Windows 11. Mac use requires additional software. Include any necessary hardware or IT support in the budget and test the exact arrangement before committing.

Ask how the bookkeeper accesses the records and what happens when both people need to work. Agree which file is current. Create a backup, restore it in a test location and confirm the expected records appear.

This also tests the exit plan. Before a migration, identify the reports, attachments and transaction history you need to preserve. Follow the switching checklist rather than treating a copied file as the whole handover.

How to compare it fairly

Compare Gold with products that cover the same payroll and invoicing needs. A cheaper invoice-only plan is not an equivalent package; a richer cloud plan may include access features you need.

Use the comparison selector to compare Gold with AccountRight, Manager or any other covered product. Record both the work the software does and the work left for you.

Key takeaways

  • Monthly payments carry a 12-month minimum commitment.
  • Bank feeds are an additional cost.
  • Test Windows access, recovery and adviser handover alongside accounting features.
