Accounting Software for Sole Traders: Choose by the Work

The best accounting software for a sole trader depends on what you sell, how you get paid and which records you need. A freelance designer, online seller and electrician can all trade as sole traders while needing quite different software.

Start with the work you do every week. Choosing the smallest product that handles that work is sensible; choosing the cheapest product while ignoring missing tasks is less useful.

If you mainly sell your time

Prioritise quotes, invoices, time records, payment follow-up and a usable handover to your adviser. Test a deposit, part payment and credit as well as a normal invoice.

Rounded is designed around the Australian sole-trader service workflow. FreshBooks is another client-service candidate, but Australian tax reporting and separate payroll need deliberate checks. A broader accounting product may suit if you need more operational features.

Ask whether a time entry can be billed twice accidentally, how you see unbilled work and what happens when a fixed-price job takes longer than expected. Those are practical service-business questions.

If you are GST registered or want automatic feeds

Compare the plan containing those features. Rounded Pro includes its GST/BAS preparation and bank-feed features; Zoho's free option has limits and manual imports. The cheapest plan in each family is not necessarily an equivalent comparison.

GST reports need correct settings and reviewed transactions. A software subscription does not decide whether you must register or how a particular transaction should be treated. For the registration question, use our GST registration guide.

Count all bank accounts and cards that need connecting. A sole trader can exceed a plan's account allowance while having no employees and modest sales.

If you sell goods

Trial stock purchasing, part deliveries, sales, returns and counts. Check the quantities and values after each step. An invoice item list may be enough for a service provider but inadequate for a business promising customers that stock is available.

Use the inventory buying checklist before comparing plans or adding another stock application.

If a marketplace or online store creates sales, test a settlement after fees and refunds. Agree which system creates the accounting sale and how its payment is matched.

If zero licence cost matters most

Free accounting software includes different arrangements: a restricted cloud plan, a free single-user desktop application or open-source ledger software.

Desktop can be workable if you understand the accounting, maintain backups and have an agreed adviser handover. Cloud can reduce file-transfer work, but it introduces subscription terms and access questions. Neither eliminates the need to keep records accurately.

Test exports and recovery before relying on any free option. Know what happens when you outgrow a limit or need another person to work with the file.

If the first employee is getting closer

Check Australian payroll capacity and charges now. An owner's drawings are different from employing a worker, and a product's owner-expense features do not establish payroll reporting capability.

Compare the price of the accounting-plus-payroll system at the expected headcount. Ask who will set it up and review the first pay. A product selected for today's solo workflow may still work, but you need a plan for the next stage.

Make a shortlist and finish the trial

Choose two options from the main comparison. Repeat the same invoices, expenses, bank checks and report tasks in both. Then ask your adviser to review the output.

Use the comparison and cost tool to record feature boundaries and estimate the complete cost. The right choice should leave you knowing what you will do each week, what needs help and what it will cost.

Key takeaways

  • Sole trader is a structure, not a complete software requirement.
  • Choose around service work, stock, feeds, GST and future employees.
  • Trial the plan you will actually need and confirm the adviser handover.

Where to get help

Ask each shortlisted vendor about your specific workflow. Take the trial worksheet to the person who will help maintain or review your records.
