Manager Accounting Software: Free Desktop and Cloud Explained

Manager offers free desktop accounting for an owner who is comfortable looking after a local business file. Its paid Cloud edition is a different proposition, intended for shared or remote access. Decide which working arrangement you need before comparing prices.

The free desktop product is single-user. It is freeware, which should not be confused with an open-source licence.

What the free desktop edition means

Manager's official download page provides Windows, Mac and Linux versions and describes the desktop edition as free without usage or time limits. A free licence doesn't mean a cost-free system. Someone still needs to configure the accounts, learn the workflow, keep backups and resolve questions. For a business with few transactions, that arrangement may be perfectly workable. For one needing constant shared access, the paid cloud alternatives may be a closer comparison.

Work with the file deliberately

Create a test business first. Enter opening information only when you understand what it represents. A starting bank balance is not a substitute for outstanding invoices, unpaid suppliers or other balances that need transferring.

Use invoices and bills for the underlying transactions, then record payments against them where appropriate. Keep documents in a retrievable location and agree how they will be supplied to your adviser.

Manager's bank reconciliation guide describes comparing the account with a statement date and closing balance. Reconciliation is the check, not simply the fact that transactions were imported.

Try a complete reconciliation

Choose a small statement period in your test file. Import or enter its transactions, checking dates and amounts. Match payments to existing invoices or bills instead of creating duplicates.

Now compare the software balance with the statement. Investigate any difference and save the completed reconciliation. Ask whether your bank-feed expectations require an extension or a separate service; do not assume that the free desktop download provides a live Australian bank connection.

Backups are part of the purchase decision

Make a backup, copy it to a separate safe location and restore it as a test. Confirm the restored file contains the expected dates and records. A backup you have never restored leaves recovery untested.

Agree one active file and one editor. Sending a copy to the accountant while continuing to edit your own copy creates a handover question: which corrections must come back, and how will they be applied?

Manager says a Cloud file can be downloaded and continued in the free desktop edition. That is a useful exit route to test, but it changes the access model. Cloud edition information.

Australian reporting and payroll checks

Configurable tax records still require correct Australian setup. Have the person preparing returns check the reports and lodgement process before relying on them.

Likewise, recording wages in a ledger does not establish an Australian STP reporting connection. If employing, identify the separate reporting solution and how its entries reach the accounts. Keep that cost and effort in your comparison.
