Manager vs GnuCash: Comparing Free Desktop Accounting
Manager and GnuCash both offer free desktop accounting, but they are not interchangeable. Manager's free desktop edition sits alongside a paid Cloud product. GnuCash is open source and exposes a more explicit double-entry ledger workflow.
The differences to check
| Requirement | Manager | GnuCash |
|---|---|---|
| Standard pricing | Desktop edition is free. Cloud multi-user hosting is paid; check its current currency and subscription. | Free, open-source software. Allow for your setup, training, backups and any separate services. |
| Access | Desktop on Windows, Mac and Linux; optional paid Cloud edition. | Desktop software for Windows, macOS and Linux. |
| Payroll | Do not treat payroll ledger entries as Australian STP reporting; verify a separate reporting solution. | Manual payroll accounting is not STP lodgement. An Australian employer needs an appropriate external process. |
| Main caution | Freeware is not the same as open source. You are responsible for desktop backups and recovery. | The accounting concepts are more visible than in guided cloud software. Trial the reports before migrating. |

Separate licence cost from running the books
A free download removes a software licence charge. It does not remove setup, learning, corrections, backups or the cost of someone reviewing the records.
If two people need live remote access, compare the working arrangement before installing anything. Manager's desktop is single-user; paid Cloud is a separate option. With GnuCash, plan a controlled editing and handover process rather than concurrent edits to a synced file.
Use an invoice and statement as the deciding test
Create a customer invoice, post or issue it, then record the payment against that invoice. Check the customer balance and trace the bank receipt. Now enter an unpaid supplier bill and settle it. You should be able to explain what remains owing.
Import a small statement period in a supported format. Compare the closing balance with the statement and investigate an intentional test difference. If the workflow doesn't make sense, allow training time rather than hoping the live file will be easier.
Free desktop is not a complete Australian reporting service
Configurable tax reports still need an Australian setup and review. Neither product should be chosen on the assumption that ledger payroll entries automatically provide STP reporting or that a tax report lodges a BAS.
Ask your adviser to review sample outputs. Establish the lodgement process, payroll arrangement if needed, and how corrections will be returned to the active file.
Do a restore before you decide
Back up the test business and restore it to another location. Check the newest transaction and the reports. Confirm who stores the backup and who can recover it when the normal computer is unavailable.
If both tools pass the accounting and recovery tasks, choose the one the operator understands best. Open-source licensing may be a deliberate preference; it is not evidence that a particular set of business records has been kept correctly.
Make the decision with a repeatable trial
Use the trial worksheet to record completed tasks, missing capabilities and recurring manual work. Put subscriptions, add-ons and setup into the cost calculator on the same billing and tax basis.

Key takeaways
- Compare the named plan and complete setup, including payroll and integrations.
- Test an ordinary transaction and a correction before committing.
- Confirm that your adviser can use the resulting records and reports.
