QuickBooks vs Reckon One: Users, Projects and Australian Costs

QuickBooks Online and Reckon One differ in how they package users, reporting and operational features. Reckon's unlimited-user offer can be relevant to a shared bookkeeping workflow; QuickBooks' tiered plans need matching to the people and reports you require.

Price the working setup

List staff who will actually use the accounting file, excluding the adviser where accountant access is handled separately. QuickBooks' ordinary-user allowances run from one to 25 by plan. Reckon One advertises unlimited users, but you still need the right permissions.

Add payroll separately in both quotes. Compare employee allowances, setup, support and how journals enter the accounts. A plan described as accounting does not establish that payroll is included.

Project features need a practical question

If you want to know whether each job makes money, start with a completed example. Put the sale and direct costs into the trial and ask for the report. Check how time, refunds and costs received after completion affect it.

QuickBooks Plus is an important tier to evaluate for projects and inventory. Reckon's current range also advertises operational features, so confirm the named tier and demonstrate them rather than relying on an older comparison.

Test a month-end handover

Ask your adviser to retrieve the unpaid-invoice report, supplier balances, bank reconciliation and GST detail. They should be able to trace a figure to its source without asking you to re-create a spreadsheet.

Confirm how the BAS will be lodged. QuickBooks' Australian feature list includes electronic lodgement; Reckon One's report preparation should not be assumed to do the same job. If an adviser handles submission, make sure the handover supplies what they need.

Pick the product that passes these tasks at a supportable cost. There is no reason to move a well-maintained file solely because the other vendor has a short promotion.

Make the decision with a repeatable trial

Use the trial worksheet to record completed tasks, missing capabilities and recurring manual work. Put subscriptions, add-ons and setup into the cost calculator on the same billing and tax basis.
