The payroll comparison can change the result

Write the current headcount and expected hires beside each quote. Include the person who checks payroll, the employee charges and any integration setup. A bookkeeping subscription that is cheaper by $20 is not the cheaper system if a required service adds more than that elsewhere.

Ask both providers to show a correction: an employee's pay needs changing after the original run. Who updates the accounting records, how is the liability checked, and which system is responsible for the report? You are comparing a process, not just a payroll tick.

Check projects and permissions before paying for a higher plan

QuickBooks Plus introduces project and inventory features; its ordinary-user limits rise by tier. Xero allows unlimited users with roles, but specific features and payroll capacity depend on the plan. Those are different upgrade triggers.

For a service business, trial one completed job. Enter its invoice and direct costs, then look for the report you need. If you need employee time included, agree how it is valued. Don't pay for a project report that nobody can interpret.

Use the same awkward transaction in both trials

Create two invoices for one customer, record a single payment covering both, then refund a small overpayment. Check the customer balance and bank reconciliation at the end. Have your adviser retrieve the details without using your login.

If one product needs an extra app, include the fee and correction workflow in the comparison. Choose the setup your team can maintain accurately after the person doing the demonstration leaves.
