Find the realistic starting tier
If the business exceeds Zoho's free revenue limit or needs automatic bank feeds, compare the paid plan you would actually use. With Xero, check invoice and bill limits, employees and any foreign-currency need.
Write annual cash commitments and normal monthly prices in separate columns. A promotional first quarter says little about the cost over three years.
Compare payroll and the wider system
For an employer, Xero's included payroll allowances are part of the value being purchased. Zoho's Australian payroll workflow needs a supported integration and its own pricing. Include setup and reconciliation of payroll journals.
An existing Zoho CRM or operations setup may make Books a useful trial. A business already relying on a Xero-connected sales system needs to verify the alternative integration before moving. Neither ecosystem label guarantees that your refund and correction workflows are covered.
Follow GST reporting to a documented handover
Xero advertises BAS lodgement functionality. Zoho provides BAS reporting; confirm the submission process rather than equating a report's status with an ATO receipt.
Ask your adviser to produce a sample report pack from each trial and identify unresolved items. That tests the collaboration you will rely on each quarter.
Then choose one awkward transaction, such as a payment fee deducted before settlement, and follow it through both products. The stronger candidate is the one that meets your requirements with work your team can consistently complete.
Make the decision with a repeatable trial
Use the trial worksheet to record completed tasks, missing capabilities and recurring manual work. Put subscriptions, add-ons and setup into the cost calculator on the same billing and tax basis.
